Administrative Manager

Job Description

Position Overview: The Administrative Manager will play a crucial role in ensuring the smooth functioning of Headwaters Academy by managing a variety of administrative systems and processes. This individual will be responsible for bookkeeping, managing PTO requests, tracking faculty hours, handling student forms, overseeing facilities management, and assisting with donor coordination, and marketing efforts. The ideal candidate will be organized, proactive, and enthusiastic about contributing to a vibrant educational community.

 

Key Responsibilities:

  1. Bookkeeping and Financial Management:

    • Maintain accurate financial records using QuickBooks Online.

    • Process invoices, track expenses, and manage accounts payable/receivable.

    • Prepare financial reports and assist with budget preparation.

  2. Human Resources and Payroll:

    • Manage PTO requests and track faculty hours.

    • Assist with payroll processing and employee benefits administration.

    • Maintain up-to-date personnel records.

  3. Student Administration:

    • Assist with student paperwork, including enrollment, health records, and academic records.

    • Ensure compliance with all regulatory requirements regarding student documentation.

    • Coordinate communication with parents regarding administrative matters.

  4. Facilities Management:

    • Oversee the maintenance and upkeep of school facilities.

    • Check mail, receive packages, and distribute around campus

    • Coordinate with vendors and service providers to ensure the school environment is safe and well-maintained.

    • Manage inventory of school supplies and equipment.

  5. Donor Management and Development:

    • Assist with donor management, including tracking donations and preparing acknowledgment letters.

    • Support fundraising efforts and donor events.

    • Maintain accurate donor records and generate reports as needed.

  6. Marketing and Advertising:

    • Assist with the development and execution of marketing strategies.

    • Manage the school’s social media accounts and website content.

    • Coordinate advertising efforts to promote the school and its programs.

 

Qualifications:

  • Bachelor’s degree in Business Administration, Accounting, or a related field.

  • Minimum of 3-5 years of experience in an administrative or managerial role.

  • Proficiency in QuickBooks Online, Google Docs, and Microsoft Office Suite.

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Experience in an educational setting is a plus.

  • Ability to work independently and as part of a team.

Minimum requirements:
● Bachelor's degree in business administration, communications, or a related field.
● At least two years of experience in executive/office support, project management, or a related field.
● Strong organizational skills and attention to detail.
● Excellent written and verbal communication skills.
● Ability to work independently and as part of a team.
● Flexibility to work occasional evenings or weekends for special events.
● Friendly, warm, and collaborative demeanor
● Proficiency in Google Suite and other relevant software.
● Understanding of independent school culture is a plus.

 

Work Schedule:
● School Year: Monday to Friday, 8:00 AM - 4:00 PM (Following the Headwaters Academy Faculty Calendar)

● Summer: Monday to Thursday, 8:00 AM - 4:00 PM (Remote work negotiable)

● Occasional evenings or weekends for special events.
